Who We Are

Our website address is: https://vitalisquest.com. Vitalis Quest LLC is a company registered in Wyoming, United States. For anything related to your data, write to hello@vitalisquest.com.

Retreat Applications and Health Information

When you apply for a retreat or book a discovery call, you provide your name, email address, phone number, whether a partner is joining you, and whatever you choose to tell us about why you are applying.

Some of our retreats concern fertility and emotional wellbeing. If you share health information with us — a diagnosis, a treatment history, where you are in your journey — we treat it as special category data. We collect it only because it is necessary to assess your application and prepare your programme, we never sell it, and we do not share it with anyone outside the practitioners directly involved in your retreat. You are never obliged to disclose it. If you would rather tell us in a call than in a form, that is fine.

Contact Form and Newsletter

Our contact form sends your message and contact details to hello@vitalisquest.com. Newsletter and waitlist signups are handled by MailerLite, which stores your email address and signup date on our behalf. Every email we send carries an unsubscribe link, and unsubscribing removes you from the list immediately.

Comments

When visitors leave comments on the site, we collect the data shown in the comments form, the visitor’s IP address, and the browser user agent string to help with spam detection.

An anonymized string created from your email address (a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available at https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.

Media

If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS). Visitors to the website can download and extract location data from images on the website.

Cookies

Comments

If you leave a comment on our site, you may opt in to saving your name, email address, and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.

Login

If you visit our login page, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser. When you log in, we will set up several cookies to save your login information and screen display choices. Login cookies last for two days, and screen options cookies last for a year. If you select “Remember Me”, your login will persist for two weeks. If you log out of your account, the login cookies will be removed.

Analytics

We use Google Analytics to understand how visitors find and use the site. It sets cookies that record pages viewed, approximate location, and referring source. This tells us which retreat pages people read; it does not tell us who you are.

Embedded Content from Other Websites

Articles on this site may include embedded content (e.g., videos, images, articles). Embedded content from other websites behaves in the same way as if the visitor has visited the other website.

These websites may collect data about you, use cookies, embed additional third-party tracking, and monitor your interaction with the embedded content, including tracking your interaction if you have an account and are logged in to that website.

Who We Share Your Data With

We share what is necessary, with the following: our email and hosting provider (Hostinger); MailerLite, for newsletter delivery; Google, for site analytics and search performance; BookRetreats.com, if you booked through their platform, in which case their privacy policy also applies to that booking; and the retreat practitioners, venues, and transport partners involved in the specific retreat you attend.

We do not sell your personal data. We do not share it with advertisers.

If you request a password reset, your IP address will be included in the reset email.

How Long We Retain Your Data

We keep personal data for six months after your last contact with us, and then delete it. This covers retreat applications, health information you shared with us, contact form messages, and newsletter records after you unsubscribe. You can ask us to delete it sooner at any time.

Two exceptions. Comments and their metadata are retained for as long as the comment stays published, so that follow-up comments can be approved automatically. Invoices and payment records are kept for as long as tax and accounting law requires us to keep them, which is longer than six months.

For users that register on our website (if any), we store the personal information provided in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.

What Rights You Have Over Your Data

If you have an account on this site, have left comments, or have applied for a retreat, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include data we are obliged to keep for administrative, legal, or security purposes.

If you are in the European Union or the United Kingdom, you also have the right to correct inaccurate data, to object to or restrict how we process it, and to lodge a complaint with your national data protection authority. Write to hello@vitalisquest.com and we will respond within thirty days.

Where Your Data Is Sent

Visitor comments may be checked through an automated spam detection service. Because we operate from the United States and run retreats in Mexico and elsewhere, your data may be transferred outside your home country. We work with providers who commit to standard contractual clauses or equivalent safeguards.

Data Protection

We employ industry-standard techniques to protect the personal data you provide and to ensure its confidentiality, integrity, and availability.

Legal Basis for Processing Personal Data

We process personal data based on your consent, the necessity to perform a contract, compliance with legal obligations, and our legitimate interests. Health information is processed only with your explicit consent.

Consent to Receive Communications and Marketing Material

By posting on our site, subscribing to our newsletter, or registering for an account, you consent to receive communication and marketing material from us. You can opt out at any time by following the unsubscribe link in the emails or by contacting us directly.
